You have chosen the perfect venue for your corporate Christmas function, now you have all the finer details to confirm. Your job is on the line (it’s not really, although you are a high achiever and you want this function to be perfect!) so you need to step it up with some tips from our team of event addicts to make sure you (and the event) are the toast of office.
Make a List
It feels like there are one million things that you need to remember. Our best advice is to make a list – either a spreadsheet, or ask your friendly event coordinator to provide a blank copy of an event brief so that you can fill in the blanks.
As you confirm your event details, tick these off on your spreadsheet as well as filling in as much detail as possible.
Some essential items that you need to consider are:
Event styling – Think about who is attending your event and why? For example, is it an all male group that may not be interested in gorgeous floral table centrepieces?
Entertainment – again, it helps to think about who is attending and what the aim of the event is. Entertainment can be a very personal choice so it may also help to ask senior management or anyone else involved in organising the event, what has worked well (and not so well) in the past
Running sheet – create a basic running schedule to give to your event coordinator so that you are all on the same page as to when meal service is, any speeches or any formalities
Transport – how are your guests getting to and from your event? It is a classy touch to work this out for your guests by providing details of some different transportation options, maps and helpful directions.
Dietary requirements – Australia has the world’s highest population of people with dietary allergies! So it will pay to get this one right from the get go and ask your guests to RSVP both their attendance as well as their dietary needs. Keep a detailed list of these and provide names, requirement and table number to your event coordinator well in advance
Manage your suppliers – keeping a detailed list of your suppliers including their contact details and what and when they are delivering is a good way to ensure your event runs smoothly. Work with suppliers that you trust and provide their details to your event coordinator so that the lines of communication are always open.
Running an event is the time for the control freak in you to shine â€“ detailed lists, schedules and running sheets will be your best friend and, the more information that you can provide to your venue or caterer, the better!
